Short answer

A good thank you message for customers names what you are thanking them for, adds one useful line such as what happens next or how to get help, and does not try to sell. Keep it short and personal, with the customer name and your own name. The same rule works for every customer email: one purpose, the facts first, and a clear way to reply.

How to use the customer email generator

  1. Pick the kind of email: thank you, welcome, price increase, refund confirmation, renewal reminder, apology or win-back.
  2. Choose a tone and, if you like, add the business name and the name to sign off with.
  3. Add the facts. Prices, dates, order details or what changed. The generator uses only what you give it. If a price increase email needs the new price and you did not enter it, the draft says [new price] instead of guessing one.
  4. Read it, fill the brackets and send it from your own email tool. Check every number against your billing system before it goes out.

If you have used today's 5 free emails, the templates above cover the same seven situations, with a few versions of each.

How to write a thank you message for customers

A thank you message works when it is specific. "Thanks for being a customer" is easy to ignore; "Thank you for your first order" or "You've been with us for three years" is not. Keep it to a few sentences:

  1. Use the customer's name.
  2. Say exactly what you are thanking them for.
  3. Add one useful line: what happens next, or how to get help.
  4. Sign with a real name.

Leave out the sales pitch. A thank you that ends with a discount code for something else reads as an ad. If you do include a gift, say what it is and when it expires, and make it the only extra.

How to write a price increase letter

Customers accept a price change more easily when they hear it early and plainly. Put the old price, the new price and the date in the first paragraph, because that is what they are looking for. Give the reason in one or two honest sentences. Then say what they can do: keep the plan and do nothing, move to another plan, or cancel before the date. Offer a way to ask questions, and send it well before the first charge at the new price.

If you can, give existing customers time at their current price. The grace period template above shows how to say that without sounding like a favor they have to earn.

Refund and apology emails

A refund email answers three questions before the customer asks them: how much, where the money goes, and when it arrives. Banks take different amounts of time, so say "usually within [number] business days" and tell the customer what to do if it does not arrive. When you say no to a refund, give the reason, link the policy and offer what you can do instead.

An apology works when it is short and owns the problem. Say what went wrong in one plain sentence, say sorry once, and spend the rest of the email on what you did about it and what the customer gets.

Welcome and renewal emails

A welcome email has one job: get the customer to the first useful result. Pick the one step that matters most, link straight to it, and say where to get help. Save the tips and the product tour for later emails.

Renewal reminders protect trust. Say what renews, on which date, for how much, and how to change or cancel. A customer who finds out about a renewal from their bank statement often asks for a refund.

When customers reply

Every one of these emails invites a reply, and many replies are the same questions: when will my refund arrive, how do I change my plan, what is included now. Write those answers once in your help center. Your team can link them, and a customer support chatbot can answer them from the same pages, so the reply does not depend on someone being online.

Frequently asked questions

How do you write a thank you message to a customer?

Use their name, say exactly what you are thanking them for (a first order, five years as a customer, their feedback), add one helpful line such as how to reach you, and sign with a real name. Two to four sentences is enough.

How do I announce a price increase to customers?

Put the old price, the new price and the start date in the first paragraph. Give the reason in one or two honest sentences, say what the customer can do (keep, change or cancel the plan) and how to ask questions. Send it well before the first charge at the new price.

What should a refund confirmation email say?

The amount, the order it belongs to, where the money goes (the card or account used), how long it usually takes to show, and what to do if it does not arrive. If the refund is partial, say which part is refunded and why.

When should a welcome email be sent?

Right after sign-up or the first purchase, while the customer still remembers why they came. Keep it to one first step and where to get help. Save tips and offers for later emails.

Is the customer email generator free?

Yes. You get 5 free AI runs a day without an account, shared by all our AI tools. What you enter is sent to our AI model to write the email and is not stored. It never adds a price, date or discount you did not give; it leaves a placeholder instead.
