Short answer

To respond to a negative review, reply quickly, thank the reviewer, name the specific problem without excuses, say what you did or will do, and offer to continue privately. Keep it short and never share order details in public. This generator writes that reply for any star rating and platform.

How to use the review response generator

  1. Paste the review and choose its star rating. The rating changes the approach: a 1-star reply and a 5-star reply do different jobs.
  2. Pick the platform and the tone. Empathetic suits most negative reviews; friendly suits most positive ones.
  3. Add what you did or will do, if anything: a fix, a policy change, a refund already made. The reply uses only these facts and never invents a remedy.
  4. Edit and post. Add the reviewer's name if the platform shows it and sign with your name or role.

How to respond to a negative review in five steps

  1. Reply soon. Within a day or two, while the reviewer still cares and other readers are looking.
  2. Thank them. They told you about a problem that other customers may have had without saying so.
  3. Name the specific problem. "I'm sorry your delivery arrived three days late" shows you read it. "Sorry for any inconvenience" shows you did not.
  4. Say what you did or will do. Only what is true. If you do not know yet, say you are looking into it.
  5. Move the details offline. Offer an email address or a phone number. Never ask for, or post, order numbers or personal details in public.

The reply changes with the rating

Example replies

1 star, late delivery: "Thank you for telling us, Maria, and I'm sorry your order arrived three days late. That is not the experience we want for anyone. We have changed carriers for your area since then. Please email us at support@example.com so we can make this right."

5 stars, friendly staff: "Thank you, James! I'll pass your kind words on to Priya. We're glad the setup went smoothly, and we look forward to seeing you again."

Fake or abusive reviews

If a review looks fake, such as no record of the customer or a review of a different business, report it through the platform's tools. You can still reply once, calmly: say you cannot find a record of the visit and invite the writer to contact you. Readers judge the reply, not only the review.

Mistakes that make it worse

  • Copying the same reply under every review, word for word.
  • Correcting the customer point by point in public.
  • Revealing details the reviewer did not share, such as their order or visit date.
  • Offering discounts in public, which invites more negative reviews.
  • Never following up privately after saying you would.
  • Replying weeks later, when the reviewer and most readers have moved on.

Notes by platform

  • Google: replies show under the review in Maps and Search. Keep them short, because many people read them on a phone.
  • App Store and Google Play: a user can update their review after your reply, so a fix plus a reply can change the rating.
  • Amazon: sellers usually cannot reply under product reviews publicly; contact the buyer through the messaging tools instead.

Fewer negative reviews

Many negative reviews start with an unanswered question: where is my order, how do I cancel, why was I charged. Fast, correct answers before frustration builds prevent many of them. For direct messages, use the AI reply generator, and check how a draft sounds with the tone checker.

Frequently asked questions

Should I respond to every review?

Respond to every negative and mixed review, and to as many positive ones as you can. Readers check whether a business answers criticism, and a thoughtful reply often matters more to them than the review itself.

How fast should I reply to a negative review?

Within a day or two. A quick, calm reply shows the problem is taken seriously. If you need time to investigate, say so in the reply and follow up privately.

Should I apologize if the review is unfair?

Thank them and acknowledge their experience without agreeing to facts you dispute. State the facts briefly and politely, and invite them to contact you. Arguing in public makes the business look worse than the review does.

Can I offer a refund in a review reply?

Do not discuss refunds or compensation in public. Say you would like to make it right and invite them to a private channel, then handle the details there.

Can I ask for a review to be removed?

Only when it breaks the platform's rules, such as spam, hate speech or a review of a different business. Each platform has a report option. Disagreeing with a review is not a reason for removal.
