Paperlink AI reads your documents once and keeps the text ready to search. When a visitor asks a question, the bot finds the best passages and answers only from them.

What happens to a document

Paperlink AI extracts the text from the document. It splits the text into passages of about 400 tokens. The split respects headings and keeps tables whole. Each passage gets a one-line AI label. Paperlink AI then indexes the passages in two ways: by meaning and by keywords.

What happens to a question

The bot searches the passages in both ways and merges the results. When the search is not sure, the bot ranks the results again. The best 5 passages, with the passages next to them, go to the answer model. The rule for the model is to answer only from these sources, cite each fact, and say so if the answer is not there. The bot replies in the language of the visitor. The answer streams to the visitor word by word. Then the bot shows 2 to 3 follow-up questions.
If no passage is relevant, the bot does not guess. It tells the visitor that it does not know and shows your contact card. You see these questions in Unanswered on your dashboard. Add a document that covers the topic to close the gap.
A citation shows the document and page that an answer came from. You and your team see citations in the dashboard, in the Playground and in Conversations.Visitors do not see citations in the widget.
A newer document outranks an older one only when you set a Supersedes link on it. The older document stays searchable but ranks lower.A document with an effective date in the future outranks nothing until that date. Upload date never decides which document wins.
The bot can serve a repeated question from a cache for 24 hours. Only the first question in a conversation can use the cache.Paperlink AI clears the cache when your documents change.
